Specific implementation procedures may vary depending on the project context. Students are expected to carry out the project in accordance with approved proposals.
General Project Management
Regular Coordination
Teams are expected to convene on a biweekly basis, or as appropriate, to align objectives, allocate responsibilities, and monitor progress toward deliverables.
Mentor Engagement
Team leaders shall organize scheduled check-ins with mentors to receive strategic guidance, review challenges, and ensure alignment with project goals.
Partner Collaboration
External partners are invited to provide constructive feedback and contextual insights to enhance the project’s relevance and societal impact.
Progress Documentation
Each team must maintain a record of activities, including meeting minutes, milestone updates, and progress reports, stored in shared project folders.
Transparent Communication
Teams are required to maintain consistent and timely communication through designated channels to ensure accountability and effective coordination.

Monthly Gatherings
Designated community leaders shall participate in monthly gatherings to report progress, share experiences, and exchange practical resources.
Resource and Knowledge Sharing
Leaders are encouraged to contribute tools, learning materials, and community insights to strengthen collective capacity.
Sustained Local Engagement
Community leaders are responsible for maintaining continuous collaboration with residents and local stakeholders to co-design and implement sustainable initiatives.
Cross-Community Collaboration
Leaders should proactively explore opportunities to connect with other communities and projects to foster shared learning and scalable impact.
Reflective Reporting
A concise monthly reflection or activity summary should be submitted to document key actions, outcomes, and feedback from the community.
Mid-term Review
Students submit the mid-term review report, accompanied by a showcase of the progress (in the form of a poster or presentation).
Evaluation will focus on project clarity and direction, progress against milestones, teamwork, and communication.
Project Completion
Upon completion, teams submit all required deliverables and a final report summarizing results, key findings, and reflections. Document all the progress. A closing presentation or showcase may be organized to share outcomes with mentors, partners, and the Co- Innovate Platform.
Reflection & Learning
Teams conduct structured reflection to evaluate their experiences, lessons learned, and the impact of their work. Students are encouraged to identify opportunities for continued collaboration or future project extensions available resources.
Project Extension
Projects may be considered for extension if the team demonstrates significant progress and impact but requires additional time to complete objectives or deliverables. Requests for extension must be submitted in the updated and agreed project proposal, outlining the rationale, updated timeline, and remaining tasks. Approval will be granted by the Co-Innovate Platform based on the project’s feasibility, alignment with objectives, and available resources.
Project Termination
A project may be terminated if there is no progress for two or more consecutive check-ins reported by the partner, or if team members become unresponsive. Projects that fail to meet expectations during the mid-term review may also be subject to termination. In such cases, all team members will be formally notified to confirm the termination and the cessation of mentor and platform support.
