Completion Process
The project completion process is a critical phase in the lifecycle of a student project within the Dii. It marks the culmination of the incubation journey and ensures that projects are concluded professionally and effectively. Below is a detailed SOP for project completion:
April each year is the regular completion time for projects due that year. Project teams need to prepare for the completion in advance and submit the completion materials and participate in the debriefing and feedback session on time after receiving the completion notice.
Submission of Deliverables
The project team submits all final deliverables and documentation to the Dii team through the designated project management system or via a scheduled drop-off.
Final Report
The team must complete and submit a project completion report that has been reviewed and approved by the project advisor, detailing the project’s outcomes and any post-incubation plans.
Internal Review
The Dii team will review the submitted materials and conduct an internal evaluation of the project’s success.
Feedback Session
A debrief and feedback session will be arranged with the project team to discuss the project’s performance and the Dii team’s evaluation, reflect on the project team’s experience, the lessons learned, and areas for improvement.
Resource Return
The project team returns any Dii-provided resources, including loaned equipment, books, unused supplies, and cash advance.
External Review
For projects above the provincial level, Dii will engage at least two external experts or mentors to provide an independent assessment.
Project Archive
The Dii team will archive the project materials, including documentation, deliverables, and any media or promotional materials.
Advisor’s Endorsement
The project team should discuss their intention to apply for early completion with their mentor(s) and obtain a written endorsement, which should be included in the application.
Comprehensive Report
The project team must prepare a detailed report highlighting the project’s success, including any quantifiable results, intellectual property developed, and future plans for the project.
Early Completion Application
The project team must submit a written application for early completion to Dii, including the comprehensive report, project advisor’s endorsement, and any other supporting documents that demonstrate the project’s success and readiness for conclusion.
Review and Decision
The Dii management will review the application and evaluate whether the project has indeed met all criteria for completion. Dii may seek additional information or clarification if necessary.
Finalize Project Closure
Upon approval of the application, Dii will issue an official project closure document, signifying the end of the project’s incubation. The project team will follow the regular project closure process to complete the project closure.
